Assets

What is an Asset?

Within the Assets module, you can create, edit, manage, and delete Assets as needed. You can also manage the people involved in each Asset, including inviting new users and removing existing ones.
Each Asset belongs to a specific Workspace and functions as a dedicated space where all information related to that property is managed.
Within an Asset, a record is maintained to store key details and allow users to collaborate and manage associated activities in a centralised way.

Create an Asset

To create an Asset, you must:

  • Be inside an active Workspace.
  • Have the role of Super Administrator or Administrator.
Steps to create an Asset:
  1. Go to the Assets module from the side menu.
  2. Click New Asset.
  3. Complete the required fields in the form.
  4. Add up to three photos (optional). This step can also be completed later.

Assign People to an Asset.

Users with the Super Administrator or Administrator role at the Workspace level have access to all Assets, regardless of whether they are directly assigned to them.
However, each Asset also has its own set of assigned users and roles.
To assign a user to an Asset, you must have the Admin or Editor role within that Asset.
Steps to assign a person:
  1. Open Asset.
  2. Go to the Persons tab.
  3. Click Add Person.
  4. Enter the user’s email address.
  5. Assign a role.
  6. Send the invitation.
The invited person must accept the invitation to gain access to the Asset.
Invitations can only be cancelled by users with the Admin or Editor role within the Asset.
What happens if I am a Super Administrator in the Workspace but have a Viewer role in an Asset?
Workspace-level permissions override Asset-level roles.
This means a Super Administrator will always have the highest level of permissions within the Asset, even if their assigned role in that Asset is Viewer.

Roles in an Asset.

Each Asset includes three permission levels:

Viewer
  • Read-only access.
  • Can view general information and available content.
  • Cannot create, modify, or delete information.
Editor
  • Can create, modify, and delete content within the Asset.
  • Cannot modify sensitive settings.
  • Cannot delete the Asset.
This role is intended for users actively involved in day-to-day operations.
Admin
This is the highest permission level within an Asset.
Admins can:
  • Manage Asset settings.
  • Assign local roles.
  • Control visibility.
  • Delete the Asset.
This role is intended for users responsible for the lifecycle and governance of the Asset.

Delete an Asset

Only users with the Super Administrator or Administrator role can delete an Asset.

Steps to delete an Asset:
  1. Go to the Assets module.
  2. Open the menu of the relevant Asset.
  3. Click Delete.
  4. Confirm the action in the security step.
  • Deleting an Asset is irreversible.
  • All recorded information will be permanently removed.
  • Please ensure you are certain before proceeding.
