Work Orders
What is a Work Order?
A Work Order is a formal work instruction created within a Workspace to address a specific need related to an Asset.
It can be used for:
- Inspections
- Maintenance
- Corrective actions
- Asbestos-related interventions
Its purpose is to organise tasks, assign responsibility, set deadlines, and track progress, ensuring traceability and control over the actions performed on the Asset.
What is a Responsible Person?
The Responsible Person is the individual assigned to execute or coordinate a Work Order.
They are responsible for:
- Taking ownership of the task
- Updating the Work Order status
- Ensuring the work is completed within the defined timeframe
Although other users may collaborate or supervise, the Responsible Person is the main point of accountability for that Work Order.
Work Order Statuses
Each Work Order moves through the following statuses:
Draft
Initial state. Allows information to be completed progressively before work begins.
Ready to do
Indicates that all required information has been completed and the Work Order is ready to start.
In progress
The Responsible Person has started working on the task.
Pending review
The Work Order has been submitted for review.
Rejected
The Work Order was reviewed and requires corrections.
Completed
The Work Order has been approved and finalised.
Uploading Evidence
To maintain proper traceability, it is important to attach evidence that supports the completed work.
The Responsible Person can upload:
- Documents
- Photographs
Upload Documents
- Open the Work Order.
- Go to the Documents section.
- Click the upload area.
- Select the file from your device.
You can also drag and drop files directly into the upload area.
There is no specific limit on the number of documents that can be added.
Upload Photos
- Go to the Pictures section within the Work Order.
- Click the upload area.
- Select one or multiple images.
You can also drag and drop images directly into the upload area.
Asbestos Register and Work Orders
Not all Work Orders are related to asbestos. However, when a task involves items recorded in the Asbestos Register, those entries can be assigned directly to the Work Order.
This helps the Responsible Person clearly identify the affected areas or materials.
How to assign Asbestos Register entries to a Work Order
To assign one or more entries:
- Open the Work Order details.
- Go to the Asbestos Register tab.
- Select the relevant entries using the checkboxes.
- Click Assign in the bulk actions bar. (This bar only appears when at least one entry is selected.)
- Confirm the assignment in the modal.
Once confirmed, the selected entries will appear linked to the Work Order.
